How FloorTally works
Pick who you are. Each guide takes a couple of minutes to read.
For gym owners and managers
The whole idea in 4 steps
- Put a sticker on every machine.
- Members scan it for how-to help, and to report problems.
- You get an alert and tap one button: Send to repair, Fix later or Not a problem.
- When it's fixed, you or your repair company tap Mark fixed. Members who asked are told automatically.
Getting started (about 5 minutes)
- Go to floortally.com/login and enter your email. We email you a sign-in link and a 6-digit code. No password.
- Name your gym and tap + for each machine you have. How-to steps are written for you.
- Add your repair company's name, email and phone (optional, but it's how repairs get sent with one tap).
- Your free 30-day trial starts. No card needed.
Printing and placing stickers
- On the dashboard, open Stickers and print on full-page sticker paper (or card stock and tape). Use Letter paper at 100% / actual size.
- Cut on the dashed lines. Each sticker has the machine's name and number.
- Put each one at eye level on its machine, next to the manufacturer's labels, never over them.
- Scan one with your phone camera to check it opens the right machine.
When a member reports a problem
You get an email and, if you turned them on, a phone alert. On the dashboard, the report asks one question:
Want every report sent without checking first? In Gym settings, choose "Send every report to them right away."
- Send to repair: the machine shows Out of order to members and the job goes to your repair company, in one tap.
- Fix later: it's safe to use; it waits on the next-visit list so your repair company fixes several things in one trip.
- Not a problem: closes it. Add a tip if it was how the machine was used, like "release the safety handles first." Members see the tip for 14 days.

Following a repair, and marking it fixed
Each job shows one line, like "Sent to AV Repairs 2h ago · ✓ seen 1h ago · Visit: Thursday."
- "not opened yet" means your repair company hasn't looked at it. FloorTally reminds them automatically, then tells you to call them. With their phone number in Gym settings, tap 📞 Call.
- Mark fixed: either you or the repair company can do it. Whoever does it first closes the job, and members who asked get one "it's fixed" message.
- Under More: add a visit time yourself, resend the job, or print an out-of-order sign.
Phone alerts (so nothing gets missed)
On the dashboard, tap Turn on phone alerts and then Allow. New reports and safety alerts pop up on your lock screen like a text. Do it on each phone or computer you use.
On iPhone, first add FloorTally to your home screen: in Safari, tap Share → Add to Home Screen. Open it from the home screen, sign in with the 6-digit code from the email (the link would open Safari instead), then turn on alerts.

Getting your repair company set up
Your repair company needs no account and pays nothing. Jobs reach them by email with one-tap buttons. To make sure jobs don't get buried in their inbox:
- In Gym settings, tap Invite to phone alerts.
- We email them a setup link, and give you a text message to send them too.
- They open the link, get a code, and turn on alerts. About a minute.
Your status page, busy times and monthly report
- Status page: a public page listing every machine and whether it's working, plus how busy the gym usually is. Share the link in newsletters or on the door. It never shows members' details.
- How busy it is comes from sticker scans and members' anonymous "I'm here" taps. It needs about two weeks of scans to learn your gym's pattern.
- Report (Pro): uptime, repairs, how fast things get fixed, which machines get used, busiest times, and plain-English advice. Print it or save a PDF for ownership.
Plans and billing
30 days free with everything. Choose a plan anytime under Plan and billing; you're not charged until the trial ends. Cancel anytime from Manage billing. If a trial ends without a plan, members can still report problems for 7 more days, then reporting pauses until you choose a plan. Your data is kept. See pricing.

Download everything as a spreadsheet from the Report page. To delete your gym and its data, email hello@floortally.com. More in the Privacy Policy.
For repair companies
The whole idea
- A gym using FloorTally sends you a job when a machine needs fixing.
- Open it, set a visit time, and tap Mark fixed when done.
- The gym sees every update right away. No account, no fee.
Get jobs as phone alerts (recommended)
So no job sits unread in your inbox:
- Open the setup link from a gym's invite, or tap Get jobs as phone alerts on any job page. You can also go to floortally.com/login and enter the email address gyms send your jobs to.
- Type the 6-digit code we email you. No password.
- Tap Turn on phone alerts, then Allow.
Your Repair jobs page
At floortally.com/repair you see every open job from every FloorTally gym you service, on one screen:
- Safety jobs first. A red New badge means you haven't opened it yet, so the gym is still waiting.
- Tap Open job to see what members reported, with photos.
- Save visit time ("Thursday 9–11 AM"): the gym and its members see it.
- Mark fixed when done: the gym is told, and members who asked get an "it's fixed" message.
Jobs by email (no sign-in needed)
Every job also arrives by email with a private link to that job. It works without signing in: open it, set a visit time, mark it fixed. Reply to the email to reach the gym directly; prices and quotes are between you and the gym.
Reminders
If a job isn't opened, we send a reminder (after 4 hours for safety jobs, a day for broken machines, 3 days for next-visit lists), then let the gym know so they can call you. Opening the job stops the reminders.
Next-visit lists
Minor issues that are safe to use are batched into one list, so you can fix several on one trip instead of a separate visit for each.
For members and residents
Point your phone camera at the sticker on a machine. No app, no sign-up.
See how to use a machine
The page shows what the machine works, step-by-step instructions and how-to videos, and whether it's working right now.
Report a problem (10 seconds)
- Tap Something wrong? Report it.
- Pick what's wrong. Add a note or photo if you like (photograph the machine, not people).
- Tap Send report. Staff are told right away, and you'll see other machines to use instead.
Not for emergencies. If someone is hurt, call 911.
Get told when it's fixed
After reporting, or on a machine that's out of order, leave your email under Notify me. You get one email when it's fixed, then your address is deleted. Staff never see it.
"I'm here" and how busy the gym is
Tap I'm here 💪 on a machine page while you work out. It's anonymous and helps everyone see how busy the gym is. Your check-in days and streak are kept only on your phone.
See how busy it usually is right now, and the quietest time left today, on the machine page or the gym's status page.
